Data is often aggregated for management purposes but, unless you can group data reliably, the whole exercise is a waste of time.
It's a classic case of "garbage in, garbage out". Therefore the best way to reduce your administrative burden may be to prevent the garbage getting created in the first place. If you have a regular set of clients, why should a secretary be required to type their full name into a spreadsheet each and every time they call? It would be much better if they could select names from a dropdown list.
