In construction and its auxiliary industries (like roofing and landscaping), it can be difficult to control your environment and you have to price each job separately. And there are a number of more specialized industries such as cabling in which the same principles apply. Our Excel consultants are often asked to simplify these costing processes by back office staff and business owners. We can also provide support in the invoicing process.

Costing Jobs

Site jobs are normally priced as the sum of materials and labor. A mark up will then be applied. Labor can be billed at different rates for different tasks, and the cost of materials may depend on the lengths and areas required, as well as simple quantities. You may also need to make allowances for wastage. The cost of materials often comes from a supplier price list.

This means an estimator has to look up all your costs in a database and calculate how many units will be required. A simple quote comprising 10 items can take 10 minutes to compile. Our consultants can often reduce this time down to 1 minute. The time saved on trawling through data can be used to find more work.

The most common solution is to let the estimator enter data in a form. They can find materials quickly using dropdown lists (for categories) and search functions. All the math and logic is performed by code when the data gets selected and a quantity gets entered. Our experts will make this as intuitive and simple as it would be on a good website. Our solutions will increase your efficiency and help you respond to clients faster.

Invoicing

In construction, you add value by creating something outside the office. So Excel can only be used before you start a project, and after it has been completed. This means it is a useful tool for invoicing clients.

Microsoft Word is an excellent tool for invoicing single items. However, its tables quickly become unusable when you need to create itemized bills. Excel is Office's numbers package and, with a little bit of work, it can be used to create attractive invoices for your clients.

One advantage of Excel would be where you have a lot of repeat business. Here, address information can be automatically pulled from a central database, or second spreadsheet, whenever a client name is entered.

The quickest way to produce invoices is to take the data directly from the quote. At Excel4Business, we can automate the whole process from the minute you cost a job, to the moment you get paid. We can build robust solutions suitable for use by newcomers to Excel.
